Optical Office Manager - Lubbock

Job Description:

The Office Manager is responsible general administrative duties, such as data entry, managing databases, and maintain meetings and minutes for BOD and other meetings. The Office Manager is also responsible for managing the human resource duties, the facility, and supervising the receptionist.Classification: Non-ExemptEssential Responsibilities:* Point person for maintenance, mailing, shipping, supplies, equipment, bills, and errands* Organize, manage, and schedule meetings and appointments* Partner with HR to maintain office polices as necessary* Organize office operations and procedures* Coordinate with IT on all office equipment* Update and inform the organization's staff of agency disaster plan and security plan* Manage relationships with vendors, service providers and landlord, enduring that all items are invoiced and paid on time* Maintain resources for employee background checks; ensure that all job application and resumes are filed for records retention* Administer staff health insurance, distribute information to staff, and assist staff with claims issues* Provide orientation packet, forms, overview of organization's procedures to all new personnel* Provide general support to visitors* Allocate tasks and assignments* Evaluate and manage staff performanceSkills/Knowledge:* Can work autonomously* Ability to speak with people of all levels in the organization; inter-department, donors, client, BODs, ect.* Ability to solve problems, including technical based problems* Ability to learn quickly without a manual* Self-directed, takes initiative* Ability to work with minimal supervision* Strong interpersonal skills and respect for diversity* Attention to detail and time management* Good communication skills, written and oral* Demonstrated ability to handle multiple tasks at one timeEquipment Used/Software Needed:* OfficeMate EMR software preferred* MS Office Suite (Word, Excel, PowerPoint, Outlook)Working Conditions:* Work is carried out in a controlled, agreeable environment as generally represented by normal office conditionsPhysical Demands:* Physical exertion includes bending, pushing, standing and walking. Must be able to move or lift and carry up to 20 pounds* Good clarity of speech and other communication capabilities, with or without reasonable accommodation, which permits employee to communicate effectively* Good personal mobility and physical reflexes, with or without reasonable accommodations to perform office duties and travel with necessary to off-site locations* Good vision and good hearing acuity (with glasses and hearing aids, if necessary)* Skilled in use of computer screens and manual dexterity in use of keyboardMental and Aptitude Requirements:* Analytical, conceptual, problem-solving and decision-making skillsOther:* Work cooperatively with staff, clients and representatives of other companies; conduct all business in a courteous, professional manner* Must be willing to submit a background check and possibly a drug screen* Must have access to reliable transportation* If applicable, must have valid driver's license or valid photo ID* Must be available to work during company business hours
