Position Description


Manages personnel and budgetary matters for a department or college. Exercises discretion and independent judgment to oversee the activities of staff and the financial processes to ensure fiscal responsibility of department/college. Ensures staff and faculty have the resources to complete their work. Usually serves as a hiring manager and employee service coordinator.

Major/Essential Functions

1. Support the Center as follows:

  • Financial management, budget planning, preparation and analysis of center resources.
  • Monthly/Semi-monthly payroll verification and FOP reconciliations. This can include research grant financials.
  • Employment Services Coordination (ESC), manage employment appointments, prepare ePAFs, etc.
  • Onboarding process for newly hired employees in the center. (Faculty hires handled by Department).
  • Manage center employee records and files.
  • Conduct/oversee the complete process of the following: budget revisions, cost transfers, job labor(re) distributions, revenue deposits, manual check requests, F&E Forms, research participant pay, EOPs, and procurement card reconciliations.
  • Process donations.
  • Manage quality control of center processes.
  • Maintain/oversee center calendar, email distribution lists, online directories, etc.
  • Oversee inventory of supplies for the center.
  • Conduct/oversee annual inventory checklist upon request.
  • Oversee/organize special events (Family Weekend, Scholarship Dinner, & McKenzie Lectureship) and/or meetings. 2. Support the Center employees as needed for the following:
    • Assist the Center Director with:Maintaining calendar.Liaison between the center and college external relations/development and marking/corns offices with targeted efforts to maintain good donor relations.Assist with donor thank you correspondence.Coordinate/approve leave requests and review/approve web-time entry for nonexempt staff, hourly student employees, as proxy to the Director of Center.Conduct/oversee Travel arrangements to include processing of all aspects of travel.Oversee/organize special events and/or meetings.Research, compile, and prepare reports, correspondence, or other information as required by the center, department and/or college.Overflow projects as requested.
    • Assist all Center employees with:Conduct/oversee Travel arrangements to include processing of all aspects of travel.3. Center SCHOLARSHIP Coordination:
      • Scholarship coordination assisting the center scholarship committee with awarding scholarships. This includes coordination and management of all scholarship resources to the center overseeing the entire scholarship process for the center to include managing materials, entering awards and coordinator thank you letters from the student and cover letter to the donors.
      • Maintaining of scholarship files.
      • Attend the Annual Scholarship Coordinator meeting.4. Other Assigned duties:
        • Attend various meetings (take notes) to stay abreast of new processes or changes of TTU policies.
        • Assist as back-up with greeting visitors, answering requests, and managing phone calls.
        • Serve as or oversee the appointment of Emergency Action Coordinator. Maintain current emergency contact information for the center, attend College emergency meetings, and comply with safety policies and procedures.
        • Assist students as requested.
        • Other duties as assigned.



          Required Qualifications

          Bachelor's degree and four years of experience developing or managing programs or projects. Additional job related education may be substituted for the required experience on a year-for-year basis.
